The Situation

The centre — anonymised at the approved provider's request — is a well-regarded 74-place long day care service in St Ives, with five rooms spanning nursery to preschool, two kitchens, four children's bathrooms and substantial outdoor play areas. Educators were finishing their days doing cleaning top-ups because the incumbent contractor's evening visits were short, undocumented and inconsistent: one night the nappy change benches were disinfected properly, the next they were wiped with the same cloth used on the lunch tables.

The director's trigger point was preparing for assessment and rating. Quality Area 2 requires effective hygiene practice — and the service had no cleaning documentation beyond an invoice.

What We Changed

  • Built a room-by-room scope with the director: nursery, toddler and preschool rooms, kitchens, bathrooms, nappy change stations, laundry and outdoor zones
  • Separated chemistry: child-safe low-tox products in play and sleep areas; TGA-approved hospital-grade disinfectant for nappy change benches, bathrooms and food-contact surfaces
  • Implemented strict colour-coding so bathroom equipment can never touch a lunch table
  • Rostered a consistent evening crew — police-checked, each holding a current Working With Children Check, clearances filed with the centre
  • Scheduled quarterly holiday deep cleans: carpet extraction, cot and shelving detail, high dusting and outdoor equipment washdown
  • Delivered the compliance folder: per-visit signed logs, chemical register, safety data sheets and staff clearance records

The Result

Educator cleaning top-ups stopped within the first fortnight — the director estimates her team reclaimed around four staff-hours a week, redirected to programming. When assessment and rating proceeded mid-year, the hygiene component of Quality Area 2 was evidenced directly from the cleaning folder without follow-up questions. A winter gastro scare in the toddler room was contained to a single confirmed case after a same-week outbreak clean of the affected room and shared spaces.

The engagement runs month-to-month at standard childcare rates, with the quarterly deep cleans planned against the centre's closure days each term.

Why It Matters Across the Upper North Shore

St Ives, Gordon and the surrounding suburbs carry one of Sydney's densest concentrations of early learning services, and most are cleaned by generalists. The fix is procedural, not heroic: right chemistry per zone, colour-coded separation, cleared staff, and paperwork that proves all of it. The full protocol is on our childcare cleaning Gordon page, with local coverage detailed for St Ives and budgets in our rates guide.

What St Ives Directors Ask About This Centre

When St Ives directors ring about this engagement, three questions come up almost every time. First: how long did the folder take to build? About a fortnight — scope, chemical register, clearance records and log templates were assembled before our first solo evening, so the centre was never operating ahead of its paperwork. Second: what happens through winter illness season? The scope carries a standing outbreak provision — an affected room plus shared spaces cleaned to disinfection protocol within the same week, at a pre-agreed rate — which is exactly what contained the toddler-room gastro scare to a single case. Third: does the documentation survive staff turnover? Yes, because it belongs to the centre rather than to anyone's memory — a new director inherits the folder, the schedule and the named supervisor on day one. None of this is exotic; it is simply the standard every long day care service in 2075 should be able to show an authorised officer without a week of scrambling beforehand. The director's advice to peers, passed on with permission: fix the paperwork before assessment year, not during it.
